Fulfillment Policy

Membership Program Terms & Conditions

By signing up for the 3D Visualization Membership Program (the “Membership”), you agree to the following terms and conditions. Please read them carefully to ensure you understand the rights and obligations of both parties. These terms are designed to protect your interests and ours, ensuring a smooth and transparent service experience.

1. Membership Pricing

  • The Membership fee is £199 per month, inclusive of VAT.
  • Membership fees are payable monthly, in advance, via Direct Debit through GoCardless. Fees will be charged automatically on the same date each month, corresponding to your sign-up date.
  • We reserve the right to change the Membership fee with a 30-day notice to the client. Any fee changes will apply to the next billing cycle.

2. Discounts and Offers

  • New clients who sign up for the Membership will receive a 20% discount on all services for the first three (3) months of their Membership. After this initial period, the discount will reduce to 10% for all future services.
  • Projects and discounts under this Membership are strictly for the registered client only. They cannot be used on behalf of third parties, other companies, or transferred to another individual or entity.
  • The discount applies to standard services and does not include any third-party or external costs.

3. Free First Project

  • New members are entitled to a free first project valued up to £750, only if they attended FUTURESCAPE and signed up for the Membership between the 14th and 16th of October 2024.
  • The free project applies to single-dwelling residential projects only, and any additional work beyond the £750 threshold will be billed at standard rates minus the applicable Membership discount.
  • If the first project exceeds the £750 value, the additional cost will be invoiced upon completion of the project.
  • The free project offer is valid only for the first project after signup. The offer is not transferable, and no cash alternative is available.

4. Project Commencement and Timeline

  • Projects will commence within thirty (30) days after sign-up unless otherwise agreed. Project schedules may vary depending on workload and client availability for feedback.
  • We reserve the right to extend the project timeline in cases of unexpected delays or unavailability of required resources.

5. Free Add-ons

All Membership projects come with the following complimentary add-ons, which are provided one time per project:

  • One (1) extra revision.
  • AR model integration.
  • 360° virtual tour.
  • Basic animation package.
  • Nighttime visualization shots.

If a client requests any of the above add-ons to be rerun or additional versions to be created, these will be charged at the full rate for the service, minus the applicable Membership discount.

These add-ons are subject to the Fair Use Policy outlined below.

6. Fair Use Policy

To maintain a high standard of service for all members, a fair use policy applies to the Membership program:

  • The complimentary add-ons and services must be requested within the reasonable scope of a typical single-dwelling residential project. Excessive or unreasonable requests (e.g., more than two major design revisions, multiple add-ons for smaller-scale projects) may incur additional charges, subject to prior agreement.
  • We reserve the right to refuse any request that exceeds the intended use of the Membership offer.
  • Projects requiring an excessive amount of resources, time, or manpower beyond standard project parameters may incur extra costs, which will be communicated before proceeding.

7. Residential Projects Only

  • The Membership is strictly for single-dwelling residential landscape projects. This includes private homes and individual residential properties.
  • Multi-dwelling residential complexes, commercial, industrial, or public projects are not eligible under the Membership. Separate pricing applies for these services.

8. Cancellation Policy

  • You may cancel your Membership at any time by sending a cancellation request via email to our customer service team at finance@conceptsconveyed.com.
  • Cancellation will take effect at the end of your current billing cycle. You will continue to receive Membership benefits until the end of that period.
  • Upon cancellation, any active projects will continue under the standard non-membership terms, and all discounts or free add-ons will no longer apply.
  • We reserve the right to cancel your Membership at our discretion if there is a breach of these terms or any abuse of the Membership program.

9. Refunds

  • Membership fees are non-refundable. Once a Membership payment is processed, no refunds will be issued for that billing cycle, except in cases of system errors or disputes resolved in the client’s favor.

10. Modifications to Terms

  • We reserve the right to modify these terms and conditions at any time. Any changes will be effective immediately upon posting on our website. It is the member’s responsibility to review these terms periodically.
  • Continued use of the Membership after modifications have been posted constitutes acceptance of the new terms.

11. Limitations of Liability

  • We will not be held responsible for delays caused by external factors, including client delays in providing necessary materials, responses, or feedback.
  • While we strive for excellence in our services, we make no warranties, either expressed or implied, regarding the final outcome of our visualisations, including fitness for a particular purpose.

12. Dispute Resolution

  • Any disputes arising under these terms and conditions will be resolved in accordance with the laws of the state of Wyoming, USA, or the client’s jurisdiction, to be determined and agreed upon by both parties at the time of dispute.
  • If an agreement on jurisdiction cannot be reached, the default jurisdiction will be the state of Wyoming, USA.

Order Processing and Fulfilment

1. Order Confirmation:

  • Once your order is placed, you will receive an email confirmation detailing your project scope, payment terms, and estimated completion time.

2. Payment Methods:

  • We accept all major debit and credit cards, including American Express (Amex), via Stripe. Additionally, we also offer direct debit options and bank transfers through GoCardless. All transactions are securely processed.

3. Payment Terms:

  • A 50% deposit is required to begin your 3D visualisation project. This deposit confirms your order and allows us to start the work.
  • The remaining 50% balance is due 45 days from the initial deposit date.
  • For larger projects we can offer flexible payment plans.

Note:

  • Late payments will incur fees.
  • Once a project has commenced, the project payment must be made in full.

4. Refunds:

  • Due to the custom nature of our 3D visualization services, refunds are not typically offered once work has commenced. In the unlikely case you are unsatisfied with the final product, we will work with you to make reasonable revisions.

5. Project Timeline:

  • Estimated completion times are provided during the initial consultation and project scoping. We strive to meet these estimates but cannot guarantee exact completion dates due to the nature of custom work.

6. Order Modifications and Cancellations:

  • If you need to modify your project, please contact us as soon as possible. Changes to the project scope may affect the timeline and cost.
  • If you wish to cancel your order, please contact us within 24 hours of placing your order. Cancellations after this period may result in forfeiture of the deposit, depending on the amount of work already completed.
